Title: Team Coordinator
Reports to: Branch Manager

Executive Assistance/Misc Tasks
Office
• Coordinate office maintenance (painting, ordering supplies. etc)
• Filing, answering phones, greeting visitors
• Maintain all lead and pre-approval records
• Keeping Manager’s office organized
Lists and Spreadsheets
• Realtor and private bank referral list
• Leads, Pre-Approvals, Referral Partners, meeting tracking and other google drive excel
spreadsheets
• Weekly update and revision of Branch Manager’s Task List
Client/Contact Management
• CRM client system integration, closing process application
• Updating contacts in Rocket Fuel for email campaign
• Email Templates for weekly follow-up and pre-approval
Marketing
• Scheduling, production and distribution of marketing materials to referral partners, clients and
potential clients.
• Researching new advertising partners and options for the team
• Creating email templates to be used for client follow-up and pre-approvals
• Assistance with maintaining social media accounts on all platforms
• Tracking conversion rates between advertising and leads generated
Referral Partners/Business Development
• Coordinating meetings, presentations and social events with Real Estate partners, private banks,
CPAs, etc
• Preparing materials and handouts
• Collecting contact information to update for marketing
Misc Tasks/Executive Assistance
• Pipeline reports
• Wolfpack-Create Agendas, Attending Meetings, Transcribe minutes
• Scheduling pipeline meetings and generating reports
• Tracking monthly closings to distribute Thank you cards and review requests to real estate
agents and borrowers
• Research and development and requested by Branch Manager
• Miscellaneous errands or tasks as requested by Branch Manager
• Collect receipts and invoices to be reimbursed or paid by Corporate
